At Sheffield Cable Waterski LTD (Sheffield Cable Waterski and Aqua Park) (company no: 08308959 ) we take data privacy seriously and we adhere to all applicable data protection laws and regulations, in particular to the EU General Data Protection Regulation (GDPR).
This policy includes details on what data we collect from you and why, how we may use that data, and your rights in respect of our use.
We collect, store and use your data when you book with Sheffield Cable Water Ski LTD - at the time of booking, at the time of payment processing and when you complete one of our forms before your activity starts. Information may also be collected when you contact us via our website, by email, by phone, in person or via social media channels, when you apply to work at Sheffield Cable Water Ski LTD and when you are subsequently employed by us, and if you post on our social media channels.
The data that we collect during the booking process is used to create a booking in our system under your name and to process payments related to that booking. Data that we collect in our forms before arrival is used to record that we have provided you with safety information about the activity and enabled you (or a parent/ guardian) to consent to taking part in this activity. This information may be passed to our insurers in the event of a claim. Emergency contact details collected on our forms will be used in case of an emergency where we need to contact someone to assist you (for example you have an accident and need to be taken home by someone else).
Please note that as regards to the usage of service providers located outside the European Union, Sheffield Cable Water Ski LTD’s booking systems are provided by a company located outside the European Union (Checkfront.com). We regularly review products provided by alternative providers in the UK but have not found a comparable product that fits our requirements. We ensure that where service providers are located outside the European Union they are also GDPR compliant.
1. What personal data do we collect from you?
Contact details (including your full name, date of birth, address, email address, telephone numbers, emergency contact details).
Photographic identification (season pass holders only).
booking details including booking date, activities booked and check-in date/time.
Summarised payment details including the name, transaction id, payment amount and date are stored on our booking system (Checkfront) the full details of the payment are stored by our payment provider (Opayo).
Car registration number(s) - season pass holders only.
We collect or store personal information about children under the age of 18 in the context of managing bookings and for ensuring that children have the permission of their parents/ guardians to participate in our activities. Information about children is obtained from their parent/guardian when they complete one of our forms before taking part in an activity.
2. Who has access to your personal data?
We are committed to restricting access to personal data to just those individuals who may need it in order to run our activities. This means the following may have access to some or all of your data: the Directors of the company, our booking team, our check-in team / activity staff and if you are booking a party/ food your booking information will be shared with our cafe.
3. Who do we share your personal data with outside of the Sheffield Cable Water Ski LTD?
So that we can fulfil our regulatory and contractual obligations, we may need to share your personal data with limited third parties outside our company (for example our IT service providers and payment processors). In all cases, we have committed to limiting the personal data that we share to only that which is necessary for them to be able to carry out the function we have contracted with them to perform.
We take your privacy seriously and will never sell your personal data to anyone and will take precautions to keep it secure. Your data may be shared with:
Quality Standard Inspectorates such as British Waterski and Wakeboard our Governing Body recognised by Sport England and the RLSS.
Government Enforcement Agencies such as the Police and Health and Safety Executive.
Rother Valley Country Park (Rotherham Metropolitan Borough Council) - e.g season pass holders your vehicle registration number and name will be shared with RMBC.
Our on-site cafe and bar staff.
Our insurers.
Our IT service providers include Checkfront, Opayo and Global Payments.
4. What do we do with your personal data?
We use your personal data to:
Respond to your enquiries.
Email you with information about your booking and reminders to complete documents before arrival.
Send financial documents such as invoices and collect payments from you.
Send marketing communications about Sheffield Cable Water Ski LTD by post or email (where you have consented to receive marketing communications).
Verify your identity and establish the source of funding in any transaction.
For statistical purposes.
Seek advice from third parties in connection with the services we provide.
Respond to any complaint against us.
Improve the products and services we provide.

5. How do we secure your personal data?
We take reasonable steps to prevent the loss, misuse or alteration of your personal data. We store information you provide on secure servers administered by our IT suppliers which include Google, Checkfront, Opayo (Elavon) and Global Payments. All electronic transactions and communications you send to or receive from us are encrypted using SSL technology.
6. How long do we keep your personal data for?
We will retain all your booking form data for 6 years, where data is required for insurance purposes i.e potential legal claims this will be longer.
7. Legal bases for processing your data
The General Data Protection Regulation (GDPR) establishes 6 legal bases on which we can process your data: these are Consent, Contract, Legal Obligation, Vital Interests, Public Task and Legitimate Interests. For further information about these legal bases and fuller definitions, please refer to the ICO website. We process data under a Legitimate Interest basis.
8. Children under 18
We collect and/or store personal data about children under the age of 18 when managing bookings and when parents sign our forms.
9. How do we use data collected via our website?
We may use information held about you:
To process a booking for one of our activities or party bookings.
To manage an application to work for us or our on site cafe and bar.
To ensure that content from our site is effectively presented for you.
To provide you with information, products or services that you request from us or which we feel may interest you, where you have consented to be contacted for such purposes.
To notify you about changes to our services (for example changes to a booking).
To satisfy our insurers that you were aware of the type of activity that you/ your children were taking part in (when you sign one of our forms).

11. Controlling information about you
If you have agreed that we can use your information for marketing purposes, and you change your mind: you can send an email to us or write to us.
We will never sell your personal information to third parties unless we have your permission or we are required to disclose your personal details by law.
You may contact us to request deletion of your booking data (or for a copy of your booking data) by emailing bookings@sheffieldcablewaterski.com. Deletion of data is possible unless it is necessary for establishing, exercising or defending legal claims.
